GUIDELINES TO MAINTAIN ADMISSION & WITHDRAWAL REGISTER




1.     Every academic year shall have new serial number starts from 1in Admission Withdrawal Register.

2.     Every academic year shall have consecutive admission numbers which continuous from previous academic year 2014 - 15.
Eg: If the admission number of last child admitted in 2014 – 15 is 3425/2014 – 15.  Then the admission number of first child admitted in 2014 – 15 will be 3426 / 2015 – 16.

3.     Date of Birth shall match with previous school TC and Application for        admission given by the parents and  Birth Certificate. 

4.      Admission should not be denied to any child for lack of age proof.

5.     Principals can accept the Birth Certificate of the child issued under the Births, Deaths and Marriage Act 1886 (Central Act V1 of 1886) or Hospital or Auxiliary Nurse and Midwife (ANM) Register record or Anganwadi record or declaration of the age of the child by the parent or guardian.
 
7.      Date of Birth shall be written in words in the Admission & Withdrawal register at relevant column.
Eg: 31.07.2015 : Thirty one – July – Two thousand Fifteen.

8.     Community shall be finalized after getting their community certificate or by previous school records, don’t leave the column unfilled.

9.     Religion and particular sub caste shall be mentioned. (Refer Suitable website for viewing list of communities approved by the Govt.of Tamilnadu)
  Eg:          Hindu       – Agamudayar.
      Christian – Muthu raja.
      Muslim   – Labbai.

10.                        Classify the above community into BC, BCM, MBC, SC, SC(A), ST, OC. Refer the list mailed.

11.                        No child admitted in a school shall be held back in any class or expelled from school untill the completion of 8th std.

12.                        The admission withdrawal register shall contain all the details, from the application form given by the parents as it is.
v Name with correct spelling
v Date of Birth
v Caste, Religion, Nationality etc.,

13.                        Ensure that TC of previous school or school leaving certificate and record sheet is attached while admission. If not let them to produce later without failure. If there is a proper reason for not producing the T.C we can accept him/her as per RTE Act 2009.

14.                        Mother tongue of the pupil can be verified as per the Tamil learning act 2006.


15.                        Explain about Tamil Nadu Tamil Learning Act 2006 to the students having mother tongue other than Tamil.

16.                        A pupil with valid TC shall be admitted to the standards to which the TC declares him / her fit. The pupils should not be placed in a class higher or lower.


17.                         Proviso: Provided admission shall not be denied for not submitting TC. Later it can be obtained from the parents.

18.                        TC received from other Boards of Education like CBSE, ICSE etc., within Tamil Nadu for admission will be sent to the Inspector of Matriculation schools for evaluation from 9th Std.


19.                        TC received from other states shall bear the counter signature of the competent authority of concerned state.
20.                        TC received from foreign countries shall bear the counter signature of the Ambassador / Embassy or specially authorized persons for this purpose specially. It shall be evaluated by IMS along with Passport and VISA.

21.                        The children admitted under Sec 12(1) (C) of RTE Act 2009 are also entered in the same register.


22.                        Age of pupils:  Pupils admitted into standard I should have completed 5 years on 31st July of that year.  31st July will be only reference date.  The pupils completed their 5 years old before 31st July can be admitted up to six months from date of commencement of the academic year in std I.  (As per sec 15 of RTE Act 2009).

23.                        Who need age relaxation for 2015 – 16 academic year ?

24.                        There shall be a consolidation table at the last page of the register.

25.                        The candidates who needs age relaxation up to 6 months (180 Days) will be sent to IMS office along with,
v Requisition letter from principal.
v Attested Xerox copy of date of birth certificate or its equivalent.
v Application form given by the parents while admission.
26.                        The candidates who needs age relaxation more than 6 months will be sent to Director Office through IMS Office along with the above records.
27.                        All the principals are asked to complete the admission & withdrawal register without any fault and asked to get countersigned.
28.                        The following four records shall be maintained for the children admitted under sec 12(1) (C) of RTE Act 2009, mentioned in G.O.No.59 School Education (PL.2) Dept., Dated : 12.05.2014 at School.  All the records shall be placed before IMS on the same day.
